What's in CoachFile

A snapshot of what CoachFile does today, grouped by what it helps you do. As we ship publicly, this page will track what is new.

Client memory and timelines

  • One organized record per client: demographics, custom fields, and a full session history in one place.
  • A session timeline so the last conversation is in front of you before the next one starts.
  • Fast search across your clients and your session notes.

Bring your existing notes in

  • Import from Word documents, PDFs, and text files.
  • AI organizes the content you provide into draft client records, with the source visible so you can check every detail.
  • You review and approve before anything is saved. CoachFile organizes what you give it; it does not invent client details.
  • Match client headshots to records, and merge duplicates with your confirmation.

Stay on top of your clients

  • Schedule sessions and get a prep brief before each one, with the context you already recorded.
  • A capture nudge after a session, so notes get logged while they are fresh.
  • Follow-up reminders when a client has gone quiet, so no one slips through the cracks.

Make it fit your practice

  • Add, rename, and reorder the fields you track, and set up per-tier fields for different kinds of clients.
  • Session templates so logging a session is a few clicks, not a blank page.
  • Insights that summarize your practice once you have an active client base.

Security and your data

  • Encryption in transit and at rest, with an extra layer on your most sensitive fields, and each coach's data isolated at the database level.
  • Export everything as JSON or CSV at any time, and delete your account yourself with a 30-day grace period.
  • A two-tier trust model with no standing access to your client notes. The full picture is on our security page.
