CoachFile is a private client memory system for life and business coaches. It turns the scattered notes a coach already keeps into organized client timelines and session histories, so the context from the last conversation is right there before the next one begins.
Why we built it
Most coaches do not lose their client notes. They lose track of them. The notes live in a Word document here, a folder of PDFs there, a notebook, an inbox, a memory. When a coach has 50, 100, or 200 clients across years of work, the history exists but it is not at hand. Walking into a session means trying to remember what someone said three months ago, or scrambling through files in the two minutes before a call.
The honest competition for a coach is not another piece of software. It is a folder of documents plus memory. CoachFile was built to beat that: take the notes a coach already has, organize them into one place per client, and make the last session instantly retrievable before the next one.
What we believe
Your notes, organized. Not invented. This is the line we will not cross. CoachFile structures the content you give it; it does not fabricate client details, guess at what you meant, or fill gaps with plausible-sounding fiction. When the migration tool uses AI to import existing notes, it extracts what is actually written and presents it to you for review before anything is saved. Where the source is thin or ambiguous, CoachFile surfaces the gap for you to decide, rather than papering over it.
That matters because of what coaches actually record. Clients talk about their marriages, their money, their faith, their hardest stretches. A tool that quietly invents a detail about a real person, and a coach who then acts on it, does real harm. So the product is built to reflect what you entered, never to improve on it.
The trust commitment
A coaching memory tool only works if a coach can trust it with the real, sensitive things their clients say. CoachFile uses a two-tier security model: strong technical controls plus strong policy commitments. Your data is encrypted in transit and at rest, with an additional layer on your most sensitive fields. Each coach's data is isolated at the database level, and no one on our side has standing access to your client notes. We are transparent about exactly what we can and cannot see, and we wrote it down so you can hold us to it.

Who it is for
CoachFile is built for life and business coaches who carry a real client load, often dozens to a few hundred relationships, and want that history organized without changing how they already take notes. If your client memory lives in documents, folders, and your own head, this was built for you.
It is a non-clinical tool, and it keeps a clear boundary. CoachFile is not for, and should not be used as, a system of record for licensed clinical mental-health care, emergency or crisis intervention, or Protected Health Information. It is not HIPAA-compliant. Those limits are spelled out in our Terms of Service.
